Private Booking Policy - Canvas Ateliers
1. Overview
Canvas Ateliers offers bespoke, creative private workshops for groups, tailored for birthdays, baby showers, corporate events, team-building, celebrations, and other special occasions. Each event is designed to bring people together through connection and creativity in a relaxed, guided setting.
2. Booking & Confirmation
- Requesting a Private Event: To begin the booking process, clients must submit a completed private booking form with details including preferred date, expected group size, location, and workshop theme.
- Proposal & Quote: Upon receipt, Canvas Ateliers will respond with a tailored quote, including pricing, workshop options, duration, and any additional customizations (such as drinks, snacks, or extended time).
- Deposit: A non-refundable deposit (amount specified in the quote) is required to confirm the booking date and workshop details. The booking is considered confirmed only after the deposit is paid by the agreed payment deadline.
- Final Payment: The remaining balance is due no later than 7 days before the event date, unless otherwise agreed in writing.
3. Minimum Requirements & Group Size
- Minimum Participants: Private bookings generally require a minimum of 4 participants unless otherwise noted in the customized quote.
- Maximum Group Size: The maximum capacity depends on the chosen workshop and venue. Canvas Ateliers will specify group limits in the event proposal.
4. Workshop Options
Clients may choose from a range of Canvas Ateliers’ creative sessions (e.g., acrylic painting, air-dry clay, embroidery, mixed media) or request a custom theme. Custom themes may include additional charges depending on complexity, materials, or design.
5. Included Services
Private events typically include:
- All art materials & tools required for the session.
- A professional instructor guiding your group step by step.
- Setup and cleanup by Canvas Ateliers staff.
- A relaxed, welcoming environment that fosters creativity and connection.
- Participants take home their artwork at the end of the session.
Optional extras (subject to availability and fees): venue partner catering or drinks, extended duration, custom party favors, or tailored group activities.
6. Location
Private workshops can take place:
- At one of our partner venues in Amsterdam (available upon request).
- At your preferred location (office, home, event space), provided it is suitable for a creative session. Additional location, setup, or travel fees may apply.
7. Timing & Duration
Most private events run for 2 to 2.5 hours, but this may be adjusted based on group size, workshop type, or client preferences.
8. Cancellation & Refunds
Because private workshops are highly tailored and materials and staff are scheduled specifically for your event, the following cancellation policy applies:
- Cancel 7+ days before the event: Full refund of the amount paid, minus the non-refundable deposit.
- Cancel 5–7 days before the event: 50% refund of the total event cost.
- Cancel less than 5 days before the event: No refund.
- Rescheduling: Requests to reschedule can be accommodated if received at least 5 days before the event, subject to availability. Late rescheduling requests will be treated as cancellations under the refund terms above.
All cancellation or rescheduling requests must be submitted in writing to info@canvasateliers.nl.
Note: Any additional third-party fees (e.g., venue fees, catering) are handled according to the terms agreed with each provider and are outside the control of Canvas Ateliers.
9. Participant Conduct & Safety
- Participants are expected to follow the instructor’s guidance and behave respectfully towards all other attendees.
- Canvas Ateliers is not responsible for personal belongings lost or damaged during the event.
- For events at external venues or clients’ locations, participants must comply with any venue rules.
10. Liability
Canvas Ateliers is responsible for delivering the workshop as described. However, to the fullest extent permitted by Dutch law, the company is not liable for any indirect, incidental, or consequential losses arising from your private event (including travel or setup costs).
11. Photography & Media
By participating in a Canvas Ateliers private event, you agree that photos or videos taken during the session may be used for promotional purposes on our website and social media, unless you explicitly request otherwise in writing before the event.
