Private Booking Policy - Canvas Ateliers

1. Overview

Canvas Ateliers offers bespoke private workshops for groups : designed for birthdays, baby showers, bridal showers, corporate events, team-building, and other special occasions. Each event brings people together through guided creativity in a relaxed setting.

2. Booking & Confirmation

Requesting a private event. Booking begins with a completed private booking form including preferred date, group size, location, and workshop preference.

Proposal & quote. We respond with a tailored quote covering pricing, workshop options, duration, and any extras (drinks, themed setup, extended time).

Reservation payment. A 15% reservation payment is required to secure your booking. This amount is deducted from the total event cost , it is not an additional charge. The booking is only confirmed once this payment is received. The reservation payment is due within 7 days of the quote being issued, unless otherwise agreed in writing.

Final payment. The remaining balance is due no later than 7 days before the event date, unless otherwise agreed in writing.

Prices. All prices are quoted including BTW unless stated otherwise.

3. Group Size

Minimum. Private bookings require a minimum of 4 participants unless otherwise specified in the quote.

Maximum. Maximum capacity depends on the chosen workshop and venue, and will be confirmed in the quote.

Final headcount. The confirmed number of participants must be locked in no later than 7 days before the event. This number determines the final invoice amount: if fewer guests attend on the day, the confirmed headcount is still billed in full at the agreed per-person rate. Additions after this point can be accommodated subject to space, materials, and instructor availability, and will be added to the invoice.

4. Workshop Options

Clients can choose from our standard workshop catalogue: acrylic painting, airdry clay, embroidery, embroidered tote bag, stained glass painting, pressed flowers, and textured 3D art (modeling paste).

Custom or alternative workshop ideas are available on request and may carry an additional charge depending on materials and complexity.

5. What's Included

A standard private workshop includes:

• All art materials and tools
• A professional instructor guiding the session
• Setup and cleanup by Canvas Ateliers staff
• A welcoming, relaxed atelier environment
• Each participant takes home their finished artwork

Optional extras (subject to availability and additional fees):

• Drinks or light refreshments through our partner suppliers
• Themed decoration setup (small vases, flowers, colour scheme)
• Extended duration
• Custom favours or themed materials

6. Location

Private workshops can take place:

• At our atelier, Van Woustraat 200D, Amsterdam.
• At your preferred location (office, home, event space), provided it is suitable for a creative session. Travel and setup fees apply for off-site events.

7. Duration

Most private events run 2 to 2.5 hours. This can be adjusted in the quote based on group size, workshop type, or preferences.

Late arrivals. Workshops start and end at the scheduled times. Late arrivals will join the session in progress; the workshop will not be extended to compensate.

No-shows. Guests who do not attend are still charged at the confirmed per-person rate. No make-up sessions are offered.

8. Cancellation & Refunds

Because private workshops are tailored — with materials, staff, and space reserved specifically for your event — the following policy applies:

• 14+ days before the event: Full refund of all amounts paid, including the reservation payment.
• 7–13 days before the event: 50% refund of the total event cost.
• Less than 7 days before the event: No refund.

Where the final balance has not yet been paid at the time of cancellation, any amount owed under the above terms that exceeds the reservation payment will be invoiced and is payable within 7 days.

Rescheduling. Reschedule requests received at least 7 days before the event can be accommodated subject to availability, with one free reschedule per booking. Later reschedule requests are treated as cancellations under the terms above.

If Canvas Ateliers has to cancel. In the rare case we need to cancel due to illness, emergency, or other unforeseen circumstances, you will receive a full refund or a free reschedule, at your preference.

All cancellation and rescheduling requests must be submitted in writing to info@canvasateliers.nl.

Third-party fees. Any external fees (venue rental, catering) are governed by those providers' terms and are outside Canvas Ateliers' control.

9. Alcohol

Canvas Ateliers operates as an alcohol-free venue. Guests are not permitted to bring or consume alcoholic drinks at the atelier. For off-site events, alcohol may be present subject to the host venue's licensing and terms; Canvas Ateliers does not provide or serve alcohol and accepts no liability for guest-supplied drinks. Instructors reserve the right to pause or end the session if participant behaviour becomes disruptive or unsafe.

10. Participant Conduct & Safety

Participants are expected to follow the instructor's guidance and treat fellow attendees and staff with respect. Canvas Ateliers reserves the right to ask any participant to leave if their behaviour disrupts the session, with no refund.

Canvas Ateliers is not responsible for personal belongings lost or damaged during the event. For events at external venues, participants must comply with venue rules.

11. Liability

Canvas Ateliers is responsible for delivering the workshop as described. To the fullest extent permitted by Dutch law, we are not liable for any indirect, incidental, or consequential losses arising from your private event (including travel, setup, or third-party costs).

12. Photography & Media

At the start of each event we will ask whether you and your guests are happy to be photographed for our website or social media. Photos and video featuring identifiable participants will only be taken and used with explicit consent. You can decline at any time, including during the session, and we will respect that without question.

13. Governing Law

These terms are governed by Dutch law. Any disputes arising from a private booking will be brought before the competent court in Amsterdam.
