Refund & Cancellation Policy - Canvas Ateliers

Canvas Ateliers offers art workshops and creative courses, and when you book a spot, we reserve materials and a seat specifically for you. We understand that plans can change, so we have established a fair cancellation and refund policy for both our open workshops (publicly scheduled sessions that individuals can join) and private bookings (exclusive sessions for groups or organizations).

Open Workshops (Public Sessions):
For our regular scheduled workshops that are open to the public, the following cancellation terms apply:

72+ hours in advance: If you cancel your booking at least 72 hours (3 days) before the workshop start time, you are entitled to a 100% refund of your ticket price. We will refund the amount back to your original payment method.
Between 72 and 48 hours in advance: If you cancel between 72 hours and 48 hours (2 days) before the start, you can receive a 50% refund of the ticket price. This partial refund helps cover the costs of materials and preparation already undertaken.
Less than 48 hours in advance: Unfortunately, cancellations made within 48 hours of the workshop start time are not eligible for a refund. By this time, we have already prepared materials and finalized arrangements for your spot, so we cannot offer a reimbursement on short notice.
No-shows: If you do not attend the workshop without any prior notice (a “no-show”), it will be treated as a last-minute cancellation and no refund will be issued.

To cancel an open workshop booking, please email us at info@canvasateliers.nl as soon as possible with your name and workshop details. The time stamp of your cancellation request email will determine which of the above categories applies (72h+, 48-72h, or <48h). If you qualify for a refund, we will process it promptly. Please note that it may take a few business days for the refunded amount to appear back in your bank or credit card account, depending on your payment provider.

Canvas Ateliers appreciates your understanding that our workshops have limited spots and we prepare for each attendee in advance. These policies ensure that we can continue to offer quality workshops and cover our costs fairly, even when cancellations occur.

Private Group Bookings (Private Workshops or Events):
Private workshops (such as corporate team events, private parties, or custom group sessions) have separate cancellation terms which are agreed upon during the booking process. Typically, due to the larger commitment of time and resources for private events, we require more advance notice for cancellations or changes. Our standard policy for private bookings is:

Cancel 7+ days before the event: If you cancel a private event at least 7 days in advance, you will receive a full refund of any deposit or fees paid. This gives us a chance to adjust our schedule and offerings without loss.
Cancel 5–7 days before the event: If you cancel between 7 days and 5 days (i.e. between 168 and 120 hours prior), we can offer a 50% refund of the event fee. The remaining 50% is retained to cover preparations and commitments made for your event.
Cancel less than 5 days before the event: For cancellations made less than 5 days (120 hours) before the scheduled private event, no refund can be issued. By this point, we have invested significant time and resources (such as venue booking, materials, and staff scheduling) for your event that cannot be recovered on short notice.

Any cancellation for a private booking must be communicated in writing via email to info@canvasateliers.nl. Because private events often involve custom planning, we will have confirmed the specific cancellation terms with you in your private event agreement or proposal. Please refer to your individual agreement, as it may outline different deposit terms or deadlines (for example, some large group events might require even more than a week’s notice for cancellation). If a private event is canceled by the client, and a refund is due per the policy, we will process the refund promptly. If the payment was made by invoice or bank transfer, the refund will be issued via bank transfer to the original payer within 10 working days.

Rescheduling: If you wish to reschedule your workshop (either open or private) instead of canceling, please contact us as early as possible. We handle rescheduling on a case-by-case basis:

For open workshops, if you contact us more than 48 hours before the event, we will do our best to move you to another session (subject to availability) instead of treating it as a cancellation. Requests under 48 hours may not be accommodated or may incur a rebooking fee, depending on the circumstances.
For private events, we require significant notice for rescheduling. Generally, requesting a date change at least 5 days in advance is needed to avoid extra charges. Rescheduling a private event on shorter notice (within 5 days of the event) may incur a handling fee or may not be possible, per the terms of your booking agreement.

Canvas Ateliers Cancellations: In the unlikely event that we need to cancel or postpone a workshop (whether an open workshop or a private event you’ve booked) -for example, due to instructor illness, insufficient number of participants, or other unforeseen circumstances - we will notify you as soon as possible. You will be given the option of a full refund or the opportunity to transfer your booking to a new date or a different workshop of equivalent value. We will make every effort to accommodate you, as we value your commitment and time.

Refund Process: If you are eligible for a refund under the conditions above, we will process it through the original payment method whenever possible. If you paid by credit card or iDEAL via our online system, the refund will be issued back to that account (note: it may take a few days for your bank to reflect the credit). If you paid via bank transfer or another method offline, please provide us with the necessary details to refund you. We do not charge any additional processing fees for refunds. However, please be aware that any third-party ticketing fees or service charges (e.g., Eventbrite or payment processing fees) are typically non-refundable if they were stated as such at purchase.
